Summary

The nature of this position requires the individual to provide information, training and support to the girls and families in the troop and manage the Troop Cookie inventory. Enthusiasm and a positive attitude are essential in communications with girls and parents.

Support

The Troop Cookie Manager will get support, guidance and encouragement from the Service Unit Cookie Manager (SUCM) and Area Cookie Manager, as well as the Product Sales Staff and the Membership Staff. She/he will have access to relevant learning opportunities and will undergo the required training and orientation to Girl Scouts Product Sales. This will enhance her/his knowledge and confidence to work successfully with other volunteers and will enrich her/his Girl Scout volunteer experience.

Responsibilities/Tasks

• Remain informed about and comply with the most current policies, procedures, and guidelines of Girl Scouts of Colorado (GSCO) and Girl Scouts of the USA (GSUSA). Including but not limited to those found in Volunteer Essentials.
• Complete training appropriate for position.
• Train the girls in the troop and their parents on the Cookie Activity, including safety tips, procedures, cookie inventory management and important dates.
• Collect a signed permission slip for each girl and hand out order cards as needed.
• Determine, in conjunction with the troop leader, the number of cookies to be ordered for the Starting Inventory Order due December 7, 2012 and enter this order in eBudde by this date.
• Enter troop bank account information into eBudde by December 7, 2012.
• Meet with the SUCM by the deadline date to hand in all necessary forms.
• Pick up troop cookies from the selected pick up location at the designated time.
• Distribute cookies to the girls, secure proper signatures and keep accurate records and receipts of the distribution.
• Continue to accept additional orders and pick up cookies from cookie cupboard as needed.
• Organize cookie booth sales, if desired by troop, obeying guidelines outlined in the Troop Cookie Book and by the Area Cookie Booth Coordinator(s).
• Establish a deadline to collect and receipt monies from each girl and her parents to correspond with the number of cookies entrusted to them no later than March 4, 2013
• Deposit cash and checks into troop account on a regular basis. TCM is responsible for all monies due to council.
• Turn all troop profits over to the troop and provide the Troop Leadership Team with a Troop Sales Report printed from eBudde.
• Report any unpaid cookie bills to the Troop Leader, SUCM and Product Sales Staff as soon as possible, but no later than March 13, 2013, by completing and submitting a Problem Report.
• Submit the recognitions for the girls and troop in eBudde no later than March 10, 2013.
• Submit final Troop Sales Report, recognition forms and troop evaluation to SUCM.
• Arrange for recognitions pick-up from SUCM and see that the recognitions are given to the girls.

Qualifications and Core Competencies - Required

• Accept the Girl Scout Promise and Law and register as a member of GSUSA.
• Be an approved adult volunteer with a volunteer application, cleared background check, and two references on file with GSCO.
• Present a positive image of Girl Scouting to girls, volunteers and community members through effective communication, high personal standards of conduct and knowledge of the Girl Scout program and organization. Promote the benefits of Girl Scouting and the importance of making a personal financial contribution and volunteering time to GSCO.
• Willingness to learn about and work with adults and girls with diverse backgrounds/abilities.
• Have access to a computer with internet access and to a phone, or be willing to travel to a place where access is available (local library, school or local Girl Scout Service Center).
• Customer Support Focus: Able to respond to requests from parents, girls and other Product Sales Volunteers in a timely manner. Understands the importance of deadlines set by Product Sales and works to meet all the deadlines.
• Express ideas and facts clearly and accurately in both written and oral communications.
• Adaptability: Adjust/modify own behavior and remain flexible and tolerant in response to changing situations and environments.
• Personal integrity: Demonstrates dependability, honesty, and credibility.

• Willing to participate in the Troop Booth Check-in pilot through Little Brownie Baker using a smartphone or compatible tablet.
• Make a personal financial contribution to Girl Scouts of Colorado. (The amount or form of gift is up to the individual.)
